ISO 9001:2026 and AI: What Should Quality Managers Consider?
A team uses AI to summarize customer complaints and identify recurring themes. The summary looks useful—but some complaints have been misunderstood, and an important trend is missing.
Who checks the result? What information was used? And how does the team decide whether to act on it?
These questions are becoming relevant to quality managers and process owners as AI tools find their way into everyday work.
Where might AI support a quality management system?
Depending on the organization and the tool, AI may help people:
- Review and summarize customer feedback
- Identify patterns in quality data
- Prepare draft documents or training materials
- Organize information for audits and management reviews
- Explore potential causes of recurring problems
AI can make information easier to work with, but its output still needs appropriate review. A convincing answer is not necessarily accurate, complete, or suitable for a particular decision.
Keep the quality process in view
Before introducing an AI tool into a QMS process, consider a few practical questions:
- Purpose: What problem are we trying to solve?
- Information: Is the data suitable, current, and appropriate to share with the tool?
- Review: Who will check the output, and against what evidence?
- Responsibility: Who is authorized to make the final decision?
- Effectiveness: How will we know whether using the tool actually improves the process?
The answers will depend on how the tool is used and the potential impact of an error. A draft meeting summary and an AI-supported decision affecting product conformity may need very different levels of control.
